For the first saved search or listing cart for a particular client, you will need to send a welcome message to the client to initiate the Collaboration Center site.
After that, all future searches saved to a client and any properties that you add to their listing cart will automatically appear on the client's Collaboration Center Site.

Save Search to a Contact
Step 1: Starting on the search you just completed for your client, hover over Save Search then click Save Search As.
Step 2: The Save Search popup window will open. Click on the Contact. Step 3: Under the Contact tab, fill in the available fields. a. Name your Search: Create a unique and descriptive label for the Saved Search. Avoid using special characters like !*@%+ etc. b. Assign to a Contact: Enter your contact name or if you need to add a new contact, click Add Contact. |
Step 4: Click Save & Notify. A new tab will open on the buyer activity page for this contact.
Setup Auto-Notification Options
Step 1: The default Notification Option is set to Collab Center.
The other options are Email (which will send a static email of the matched listings only and does not use the Collaboration Center)
or Off (which disables all notifications for this specific search).
Step 2: Click on Options to configure the email notifications sent to your client.
Step 3: Advanced Email Options Pop-up Window
A. Message Body: The body of the message automatically uses your Default Message Body and Default Signature. You can customize this by clicking on the Message Body link. This customization will only affect this one email notification and will be used each time a notification email is sent.
B. Notification Date Range: Date Range Begin/End determines when the Auto-Notification process will start and finish. The default setting is for one year. You will receive an alert message in the Message Center Home Page Widget when the Auto-Notification is about to expire.
C. Notification Trigger: Select the notification type to trigger an email based on this selection.
D. Client Notifications: Choose how often the client(s) will receive email notifications:
- Choose immediately to have the email sent every 15 minutes if there is a match.
- Choose recurring to set a time for daily, weekly or monthly emails sent to the client containing all the matches to their search for the last 24 hours. Click Modify Time Frame and the Auto-Notification Recurrence modal will open.
E. Agent Notifications: Choose how often you will receive email notifications:
- Choose immediately to have the email sent every 15 minutes if there is a match.
- Choose recurring to set a time for daily, weekly or monthly emails sent to you containing all the matches to their search since the last notification was sent.
Click Modify Time Frame and the Auto-Notification Recurrence modal will open.
F. (TO:) Recipients: The To field will be filled out with the contact(s) email address(es) as entered in the contact information tab.
G. Notify Spouse/Secondary: A spouse or secondary may also be notified by selecting this box.
H. Subject: The subject line is automatically filled in using the Activity notification from your Collab Center Site; this can be changed by typing new information into the Subject field.
Step 4. Click OK to save. Any email notification for new or updated matches will now be sent to your client. The initial matches are sent with the Welcome Email in the next step.
Send Welcome Email and Initial Matches to Client
Once the Notifications Settings have been set you need to send your client a Welcome Email. The Welcome Email template includes helpful information for your clients on how to use the Collaboration Center site along with the number of initial matches for the Saved Search.
Step 1: Click Send Welcome Message.
Step 2: Format your welcome email.
A. Message Body: Hover over to select a Message Body template.
B. Subject: Leave as is or update to your personal preference.
C. Message: Enter a personal welcome message to your client. The message will be automatically formatted to match the template styling to ensure consistency in the font and formatting of the welcome message.
D. Preview: This allows you to preview your message within the new welcome email template.
Step 3: Click Send.

If there is more than one client that has updated listing matches or activity, you will receive them in one email.
