The Contact Manager is where you can manage your contacts and monitor their activity.
Accessing the Contact Manager
To open the Contact Manager, click on Contacts, then select View/Manage Contacts.
A list of your contacts and their activity will appear.
- Saved Search Column: This unlabelled column is located between the checkbox and the Activity column.
• A Plus Sign (+) indicates a saved search associated with the contact. Click the Plus Sign (+) to view all active searches for the contact.
• • • Select the search name to view the Buyer Activity page to view contact activity with that specific search, as well as modify the search, modify the email notifications, resend the invitation or disable the search.
• Clicking the count under a column to view the listings in your default spreadsheet view. From here you can set up showings using integrated tools like ShowingTime and more. - Activity: A Green Arrow () shows new activity since your last visit to the contact's account.
- Site Access: Click the blue View button to quickly access the client's Collaboration Center site.
- Matches: This displays the total number of listing matches since the search was activated.
- New & Changed: Shows the number of new or changed listings since the search results were first delivered.
- Undecided, Favorites, Possible, and Rejected: These fields show listings the client has categorized. You can also see if they’ve left any unread messages, indicated by a blue Unread Message () icon. Clicking this icon directs you to the Collaboration Center Comments page.
- Last Notified: The date of the last listing match notification sent.
- Last Accessed: The last date and time the client accessed their Collaboration Center site.
- Date Added: The date the saved search was created.
Turn Off Notifications
Once your client has purchased a home, disable the Collaboration Center site and stop auto-email notifications:
- Click Contacts in the navigation menu, then click View/Manage Contacts.
- Find the contact and click their name.
- Click Buyer Activity on the left.
- Select the search name to update.
- Set the Notification Option to Off for each saved search assigned to the contact.
View Site as Agent
Access the client’s Collaboration Center and make updates (e.g., categorize listings, add comments). There are four ways to access their Collaboration Center:
- Contact Manager: Click the View button in the Site column.
- Within the Contact Record: Each page within the contact has a View Collab Center button.
- Contact Activity Widget: If the contact has visited the site, View Site will appear under their name, along with the number of site visits.
