Contact Manager
To open the Contact Manager, click on Contacts, then click View/Manage Contacts.
A list of your contacts and their activity will appear.
Saved Search Column
This column does not have a heading and is located between the checkbox and Activity column.
The Plus Sign shows if there is a saved search associated with the contact.
Clicking on the + to see all the active searches associated with this contact.
Click on the search name to go directly to view the Buyer Activity page.
Clicking on the numbers will open a new tab to your default view, generally the spreadsheet view.
Activity
The Green Arrow indicates new activity since you were last in their account.
Site
To quickly access this contacts Collab Center site, click the Blue Site Button.
Matches
This is the total number of listing matches since the search was activated.
New & Changed
This is the number of new and changed listing(s) notifications sent since the initial search results.
Undecided, Favorites, Possible & Rejected
These are the listings the client has left as Undecided or designated as Favorites, Possible or Rejected.
Also, if they left any comments for you will see a blue Unread Message icon.
Clicking on the Unread Message icon will direct you to the Collab Center Comments page. See Manage Comments for more.
Last Notified
The date of the last listing match notification.
Date Added
The date the search was added.
Last Accessed
The date and time that the client last accessed your Collab Center portal.
Manage Comments
If your client left any comments for you, you will see a blue Unread Comment icon beside the undecided, favorites, possible or rejected count.
Clicking on the Unread Comment icon will direct you to the Collab Center Comments page.
Here you can read previous comments and submit a new one by clicking on the Unread Comment icon in the Actions column.
Click on the Detail View icon in the Actions column to see more information about the listing.
Filter
You can filter the comments by the following:
- Comment Status:
- New/Unread
- With Comments (All listings with comments)
- All Listings (All listings including listings without comments)
- Listing Category:
- All
- Undecided
- Favourite
- Possible
- Rejected
Turn off Notifications
Once your client has purchased a home, remember to turn off the Collab Center site and stop auto email notifications from being sent.
Under the Search Activity page, change the Notification Option to Off.
This will need to be turned off for each saved search being sent to Collab Center for the contact.
View Site as Agent
Accessing Collab Center as yourself you can classify listings (move to favourite, possible or reject etc.) and add agent comments to listings.
There are 4 ways to access a client’s Collab Center site:
- Contact Manager: View Site button in Site Column
- Buyer Activity: At the bottom of the page, you will see a container titled Site Information. Inside that container is a button labelled View Site
- Within Contact: There is a View Site button under the title on every page within the contact.
- Contact Activity Widget: When the Contact has visited the site within your days specified, View Site will display under the Contact Name and the number of Site Visits.
