Compose Email
At the top of the menu bar is a method for you to send an email to one of your clients from within Paragon.
Click on the icon in the menu bar entitled "Compose Email"
A Compose Email dialogue box will appear onscreen as shown here:
- Address Book
- Attachment
- Use HTML Format
- BCC Me
- Message Body
- Select Signature
- Review Recipients
- Subject Line
- Message Body
- Email Signature
- Send Message
1 - Address Book
Clicking on Address Book will open your Paragon Client Address book allowing you to select one or more of the names already entered in your contact list.
If you have a new contact that you wish to add, simply type in their email address and when you hit enter you will see the option to click on a green + sign
Then you can complete the rest of the contacts information as in first name, last name and more. Once you click on "Save" this new contact is now in your list.
Select the names you wish to send emails to and then click either the To, Cc or Bcc icons to add them to the email distribution list, and then click on "OK".
2 - Attachment
If you have a separate document or file that you wish to attach to the message you send out of Paragon click the Attachment icon at the top:
The select file dialogue box will appear and you can drag and drop your files into this window or click the "Add Files" icon in the bottom left corner to use your computer's file manager to locate the file to add.
Once files are displaying in the box you can click "Start Upload" at the bottom to complete the process.
Files will now appear in the email message and get sent as attachments with the message.
3 - Use HTML Format
This a simple trigger that would turn your email into a plain text message and remove all graphics, colours, sizes, etc. It is recommended that you leave this box checked.
4 - BCC Me
Clicking on this icon will quickly add your registered Paragon Email address into the Blind Carbon Copy field so that you will also receive a copy of the email in your own inbox.
5 - Message Body
Hovering over the Message Body icon will display all your preset message bodies that you have entered into your presets.
Clicking on any one of them will auto-fill the email message with that template.
If you have certain messages that you send on a regular basis it's a good idea to set them up as templates.

6 - Select Signature
Hovering over the "Select Signature" icon will display your predetermined options.
If you use different signatures than your default, it is a good idea to set them up as signature templates.
Click here to set them up in Email Preferences.
7 - Review Recipients
This is your opportunity to review all the recipients to this message. Note: If you wish to add another email address you can type the name in and if you click the green + sign you can them to your Paragon Contacts.
8 - Subject Line
Your subject line is a very important part of your email. Email etiquette says that if your subject line is vague then the likelihood of the user opening the message is exponentially reduced.
9 - Message Body
This is where you enter the information that you wish your client to know. If you selected a message body in Step 5 then this area will be pre-filled. You just need to add in the greeting if you wish to personalize it for your client.
You can also use any of the Rich Text Editor tools at the top of the box to change fonts, colours, add links, images, formatting and more.
10 - Email Signature
Your email signature is a vital part of the message and needs to be correct.
PLEASE ensure that your email signature is compliant with CASL - Canada's Anti Spam Legislation by ensuring that your email signature contains these four mandatory items:
- Your Name
- Your Company/Brokerage Name
- A physical location (Typically your broker's office address)
- Some form of communication: Email, Website or Telephone Number
- Another important item is the ability to unsubscribe and you can see below that Paragon automatically adds this to every message sent from the system.
If you use different signatures than your default, it is a good idea to set them up as signature templates.

11 - Send Message
Once you have verified that everything is correct you are ready to send the message.
You will see the screen notify you that your email has or has not been sent successfully.
You can review all your sent message by clicking on Contacts and then on "Sent Messages"
