How do I set my Email Preferences
Allows you to set up your email preferences including verifying your email address status; creating your Standard Message Body for Automatic Email Notifications; creating your email signature and selecting your notification status.
Open and Navigate Email Preferences
Step 1 - Click Preferences, then Email.
The preferences tab will open to the first preference page in Email.
To go to a different preference page, click on the name in the vertical menu on the left.
NOTE: Click Save if you make a change. It is always in the same location, making it easy to find.

Email Options
Allows you to verify your email address and also set the following preferences.
Email Verification Status
In order to access the full functionality of Paragon, you must first verify your email address. You have 30-days after your first email is sent out of Paragon to verify your address back to Paragon. Once you have verified your email, you will not need to do so again, unless you change your email address. If you do not verify your email after 30 days, you will not be able to send any emails from Paragon, including auto email notifications. Fortunately, this process is quick and easy.
Unverified
Step 1 - If your status is Not Verified there will be a button to send a verification email. Click Send Verification.
Step 2 - A pop-up window will open letting you know an email has been sent. Click OK. NOTE: After clicking OK, the Send Verification button will remain on this screen until the email has been verified.
Step 3 - Go to your email. The email should arrive in your Inbox within a few minutes. If the message does not arrive within that time, check your spam or junk mail folders in case the message was directed there.
Step 4 - Open the email message and click on the link.
Step 5 - Your browser will open a Black Knight page which confirms that your email address has been verified.
Verified
You have clicked the link inside the Paragon Web Services email sent to your email address in your Agent Record confirming the email address is yours within 30-days of sending the verification request from Paragon Web Services.
Invalid
Your email privileges are suspended. Your email address verification was not received within the 30 days of the request being sent to you.
Note: If your email address becomes invalid, a re-verification email does not restore your email privileges. Once your email becomes invalid, you must click the verification link within 72-hours of it being sent to you.
To retain your settings, click Save.
Auto-populate BCC (Blind Carbon Copy)
Will automatically copy you on all emails you send out of Paragon (manual and automatic).
Auto-Populate Email Message Body
If checked, when you compose an email, whether it is a manual email or auto-notification email, your default Message Body will automatically be loaded.
Read Receipt
You can request a “read” confirmation email from the recipient of your email. They must allow the read receipt to be sent to you.
Display Property Address on Hyperlink View
When you and your clients view listings that are emailed from Paragon (manual or auto-email notification via Hyperlink), checking this box will display the property addresses with the Listing ID #’s.

Default Notification Recurrence
When setting up auto-notifications (Collaboration Center or Email Notifications) you can set the emails to be set at a specific time of day. Here you can set the default settings and can change them on a client-by-client basis. An email will be sent to you and/or your clients containing all the matches to their search(es) since the last email was sent.
Recurrence Settings
A - Daily: When selecting daily, enter the every __ day(s) number, to set the number of days between notifications or choose Every Weekday. Every Weekday will send notifications Monday through Friday but not on Saturday or Sunday. Select the time of the recurrence under Notify Time.
B - Weekly: When selecting Weekly, enter the number of weeks as well as the day of the week and time occurrence.
C - Monthly: When selecting Monthly, enter the day of the month or the name of the weekday and time of recurrence.
Expiration
When you set up Automatic Email Notifications, one of the settings is the expiration date of the notification.
The default is for a maximum of 12 months. If you want your notifications to expire sooner, change the Recurrence Expiration Number of Months. You can change how long a notification is active for on a client-by-client basis as well when setting up the notifications.
Having a shorter time frame helps if you often forget to turn off the notifications when you no longer work with a client.
If you want to be sure Paragon will continue to deliver your auto-notifications beyond their expiration date, watch the Message Center for expiration notifications for your opportunity to renew the notification.
Message Body
Here you can add new message bodies, or you can make a change to the message body that appears when you compose an email.
Add New Message Body
Step1 - Click Add New.
Step 2 - Enter a title.
Step 3 - Check Default Body to make this message body the one that appears whenever you open a new email.
Step 4 - Compose your message body.
Step 5 - Once you are satisfied with your content, click Save.
Modify Message Body
Step 1 - Choose the message body you would like to edit.
Step 2 - Edit the message body and when you are satisfied with your content, click Save.

Email signature
Allows you to create information that is added to each email you send out of Paragon, if you enable this functionality. Paragon allows you to have multiple signatures at your disposal.
Paragon creates a default signature that looks similar to the screenshot below. You can customize your signature using the Rich Text Editor above the compose area of the page. The Rich Text Editor gives you word processor like editing of your text.
After customizing your signature, remember to click Save to retain your newly updated signature.
IMPORTANT NOTE: In order to be compliant with CASL, Canada's Anti Spam Legislation, your email signature must contain 4 things:
- Your Name
- Your Brokerage/Company Name
- Your physical location (your address or your broker's address)
- Some method of communication, ie: Email Address, Website, Telephone, etc.
Add New Signature
Step 1 - On the left-hand side click on the folder Email Signature. A list of saved signatures will appear and the option to create a new signature.
Step 2 - Click Add New.
Step 3 - Enter the Name of the signature.
Step 4 - Check the Default Signature box if you want to set this as your default.
Step 5 - In the Rich Text Editor text box, a basic template will be provided. You can modify the template or delete it to start fresh.
Step 6 - Once you are happy with your signature, click Save.
Update Image
Step 1 - To replace the REALTOR® Logo with your own image, click on the logo.
Step 2 - Click the Insert/Edit Image button to open the Insert/Edit Image Tool.
Step 3 - Click on the Browse button. This will open the File Manager window where you can find and select the image you wish to insert.
Step 4 - Select the image.
Step 5 - Click Insert Image.
Step 6 - Click OK to insert the new image into the email signature
