Protecting our Associations MLS® System
The most important tool that REALTORS® have to support their clients is the Multiple Listing Service® (MLS®). Not only is the data valuable to REALTORS® but you have a responsibility to protect the privacy of the home buyers and sellers that you represent. It is of critical importance that everyone guards the MLS® System, ensure that it is secure and prevent inappropriate use of the data that it contains.
How can you as a member do that? Under all circumstances, do not share your Active Keys, User Pins, and your RAE Login Credentials with others. It is also important to ensure you register all unlicensed assistants with RAE.
Refer to the following Rules and Regulations for more information and consequences.
- MLS® Rule 6.06 MLS® System Access Security
- MLS® Rule 6.07 Unauthorized Use of MLS® System
- Schedule 1- Sanctions for Non-compliance of Harmonized MLS® System Listing Rules for Alberta Section 5 and 6.
Reporting of Assistants
To arrange MLS® Data access for office administrators and unlicensed assistants of REALTORS®, complete the Application for Assistant/MLS® Data Access form and remit fee. It is the responsibility of the Broker/ Manager to notify the Member Services Hub in writing, of any changes in administrative staff and unlicensed assistants. As the Broker/Manager you must also authorize Unlicensed Assistants of REALTORS® to gain data access.
Assume Identity
Assume Identity allows users to work on each other's behalf in the MLS® system without sharing login credentials. Office administrators can assume the identity of their Broker/Manager to add or modify listing data on behalf of the Broker/Manager and all agents within the office.
Agents can share their identities with assistants or team members. To protect listing input data integrity on behalf of all Members RAE has an audit process in place.
To set up Assumed Identity within Paragon read the Assume Identity Guide.
